An adult inventory lead and teenage volunteer counting drinks and snacks in a school concession stand

Physical counts with context

Know what came in.
Know what went out.

Sales alone cannot explain a concession stand. ConcessionStand.ai combines physical counts with every legitimate inventory movement: purchases, in-kind donations, waste, complimentary items, transfers, refunds, and recipe usage. The result is a reviewable game-level record grounded in what happened inside the stand.

Count by the way the stand is arranged

Products belong to count zones such as front counter, hot line, back stock, freezer, or beverage cooler. Counters work one zone at a time on a phone or tablet. Each item uses a practical unit, such as bottle, case, bag, serving, sleeve, or each. Volunteers do not have to convert quantities while the stand is opening.

Separate inventory from transactions

A payment record says what should have sold. A physical count says what remains. ConcessionStand.ai preserves both and calculates the variance between them. That distinction matters when a product was donated, spoiled, used for a complimentary meal, returned after a refund, transferred to another stand, or sold under an unmapped payment item.

Keep product cost attached to the decision

Administrators record purchase cost, pack quantity, selling price, and current unit cost. The closeout uses cost snapshots so later price changes do not rewrite history. Reports show revenue, gross margin, waste cost, donated value, and unexplained variance by product and game.

Use photos to help with the count

A future photo-count workflow can suggest visible quantities, but an adult reviews and confirms every count before it becomes an inventory record. That protects the audit trail while reducing repetitive entry for packaged products.

Straight answers

Common questions

Can we import our current product list?

Yes. The setup supports structured product information, and onboarding can use a spreadsheet to move an existing menu into the system.

Does a donation increase inventory?

An in-kind donation can add quantity and approved fair value. Monetary donations are tracked separately so revenue and inventory are not mixed.

Can we count cases and individual bottles?

Products can use the unit that makes sense operationally. Pack information and unit cost preserve the purchasing relationship.
