Volunteer participation improves when the ask is specific. ConcessionStand.ai publishes game-based shifts with a start time, end time, role, capacity, adult requirement, and honest description. Parents claim a slot from a public page, receive a private management link, and can release it without asking an administrator to rebuild the roster.

Build the plan once, then edit it

Administrators can start from a recommended football shift plan, change the number of cashiers, split or combine windows, increase adult coverage, and save the pattern for future games. Every shift can be edited or deleted. Released claims do not remain attached in a way that blocks a clean schedule change.

Let volunteers manage their own commitment

The public signup asks for the information needed to staff and communicate: name, email, phone, adult or student status, and reminder consent. A confirmation email includes the opponent, role, shift time, preparation notes, and a private management link. From that link, the volunteer can view or release the shift.

Track adult payment onboarding by game week

Adults who will use Tap to Pay need a separate account in the selected payment provider. The portal keeps a weekly onboarding list with pending invitation, invited, app ready, removal needed, and access removed states. The list is tied to active shifts so it does not simply accumulate across the season.

Check in without publishing the roster

A manager prints or displays a game-specific QR code. Volunteers scan it and enter the email used at signup. The public QR contains no names or contact data. The protected roster shows managers who arrived, who checked out, and who needs help.

Can a parent change their mind?

Yes. The confirmation email includes a private link where they can release an upcoming shift before check-in. The opening returns to the public signup page.

Can one shift require more than one adult?

Yes. Adult requirements and total capacity are separate, so a cashier block can require two or more adults while still including student runners.

Do volunteers need a portal login?

Most volunteers do not. They use the public signup, email confirmation, private management link, and QR check-in. Trusted managers can receive individual portal accounts.
